Privacy Policy for THE Witchert Chorale

This policy applies to personal information relating to members and contacts of the Witchert Chorale.

Definitions

“Members” are those individuals who are actively singing with the Witchert Chorale on a regular basis and have paid or are due to pay the membership fee. For the purposes of this policy, the Musical Director is a “member”.

“Contacts” are those individuals whom the choir committee needs to contact on an occasional basis for the organisation of rehearsals, concerts and other events, for example churchwardens of churches where the choir performs.  “Contacts” also include those people who have contacted the choir directly via the website or via a member requesting information about the choir’s activities.

Members’ Personal Information

The choir committee holds personal information on its members as follows (any or all):

  1. Name
  2. Postal Address
  3. Email Address
  4. Home phone number
  5. Mobile phone number

This personal information is required for the choir committee to be able to communicate with members about organising rehearsals, concerts and other choir events, and for administrative purposes. The choir committee shares members’ names, postal and email addresses and phone numbers with fellow members. However, personal information is not otherwise shared with third parties without the explicit consent of the member whose personal information it is.

On occasion, the choir committee contacts members about events of other musical organisations in the local area, which it believes are of general interest.

When members leave the choir, that is they cease paying a membership fee with no intention of restarting their membership at a later date, their data will be removed from the choir’s records after 2 years, or immediately on leaving if requested by the individual concerned.

A member may request to see the personal information that the choir holds on them.  They may request that it be updated or corrected at any time.

Contacts

The choir committee holds personal information on its contacts as follows (any or all):

  1. Name
  2. Email Address
  3. Home phone number
  4. Mobile phone number

Contacts’ personal information is used by the committee only to make arrangements for rehearsals, concerts and other events and/or to send information about the choir’s activities to contacts and is not shared with third parties. 

A contact may request to see the personal information which the choir holds on them.  They may request that it be updated, corrected or deleted at any time.
